In today’s fast-paced clinic environment, creating a seamless and efficient patient check-in process is essential. The Cliniq Apps' Touch-Free Kiosk (TFK) revolutionizes the way patients check in, providing a smooth, hassle-free experience. By enabling patients to check in via SMS on their personal devices, clinics can streamline operations, reduce front-desk bottlenecks, and enhance patient satisfaction.

According to recent studies, nearly 85% of patients prefer digital solutions for routine healthcare interactions, and 68% find traditional check-in processes frustrating due to long waits and inefficiency. With the Cliniq Apps' TFK, patients simply tap "I Have Arrived" on their phones, instantly notifying the clinic of their arrival. It integrates seamlessly with Cliniko, ensuring an updated and accurate patient record system.

This guide walks you through a step-by-step process to set up the TFK, highlighting its benefits and how it improves daily clinic operations. Please note that all communications for the Touch-Free Kiosk are exclusively sent via SMS and are not available through email.

Step-by-Step Guide to Setting Up the Touch-Free Kiosk

  1. Check-in Page
Create a Touch-Free Kiosk page so that your patients can notify you upon their arrival.

    • Name Your Touch-Free Kiosk: Choose a name for your kiosk. Avoid using special characters.

    • Name Your Check-in Page: This will be visible to patients at the top of the check-in page, essentially serving as the header for the entire page.

For example, you can use {Clinic Name} Online Check-In.

      It would look like this:

    • Compose Your Message: Draft a message that appears on the check-in page. For example:

      Hello {FIRSTNAME},
If you have arrived at our premises, please click the button below and fill in any required forms.

    • Call-to-Action Button Text: Customize the button label, such as "I Have Arrived."

2. Notification
Create an SMS to inform your patients about the check-in process and guide them on filling out forms ahead of time.

  • Craft Your SMS Message: Write a message up to 2,000 characters to explain how patients can save time by filling out forms online. This SMS will be sent to patients when they receive the Touch-Free Kiosk notification.

    For example:

    Hi {FIRSTNAME}

Welcome to (Your Clinic Name)! Save time by completing your forms online before your appointment. Click the link below. Upon arrival, tap 'I Have Arrived' to check in. See you soon!

  • Select the Sender Number (Optional): If you have a dedicated SMS sender number, select it to display as the sender in your SMS communication. If not, the default number will be used.

3. Additional Settings
Configure additional settings to enhance the check-in process.

  • Send the Notification Message: Set the time (in hours) before the appointment when the TFK notification should be sent.

  • Location: Specify the location of the upcoming appointment.

  • Select Appointment Type: Decide which appointment types the notification applies to (leave blank for all).

  • Inform Us When Patients Arrive Via: Choose how you’d like to receive notifications of patient arrivals:

    • SMS: Nominate a verified mobile number from your account, or add a new SMS receiver if needed.

    • Email: Choose an email address from your account or add a new email receiver.

  • Patient Forms: Enable and attach any required patient forms for specific appointment types (leave blank for all).

4. Save and Activate
Once you’ve completed all the settings, save the Touch-Free Kiosk. Finally, activate it by clicking the play button to ensure it’s live and ready for use.
